What this notice covers
This notice covers the public website: browsing it and sending us an enquiry. It does not yet cover the referral service or the provider portal, because they are not in use with customers. When they are, we will publish a notice covering the handling of customer and risk information, and give it to participating providers before any referral is made.
The information we collect
- Enquiries. Your name, company, work email address, optional telephone number, which role you are interested in, and anything you write in the message.
- Technical information. Our servers record the IP address, browser type and pages requested, for security and to keep the site working.
- Analytics, only if you accept. With your consent, Google Analytics records which pages are visited and how visitors move through the site, using cookies described in our Cookies notice. Without your consent nothing is collected.
Why we use it and our legal basis
- To respond to your enquiry and discuss working together. Our legal basis is our legitimate interest in responding to business enquiries and developing commercial relationships, and, where you ask us to, taking steps before entering into a contract.
- To keep the website secure and available. Our legal basis is our legitimate interest in protecting our systems and the people who use them.
- To understand how the website is used, through analytics. Our legal basis is your consent, which you can withdraw at any time from Cookie settings in the footer.
We do not use your details for marketing unless you ask us to keep you informed, and you can withdraw that at any time by emailing us.
Who we share it with
- Our principal. Enquiries are passed to Got You Covered Limited, which provides the system we use to receive and manage them.
- Our hosting provider. The website runs on Microsoft Azure in the United Kingdom. Microsoft processes technical information on our behalf under its standard terms.
- Google, as the provider of Google Analytics, only if you have accepted analytics. Google may transfer that data to the United States under the UK extension to the Data Privacy Framework.
- Where the law requires it, such as a lawful request from a regulator or law enforcement.
We do not sell personal information and we do not share it with advertisers.
International transfers
Your information is stored in the United Kingdom. If a supplier needs to access it from outside the UK for support, we rely on the safeguards UK data protection law requires, such as the International Data Transfer Agreement or an adequacy regulation.
How long we keep it
- Enquiries and our correspondence about them: 24 months after our last contact, or for the life of the relationship if you become a provider.
- Server and security logs: 90 days.
Your rights
You can ask for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, object to our use of it, or ask us to restrict how we use it. To do so, email malcolm.odonovan@renewbroking.com. We respond within one month. We may ask you to confirm your identity first.
If you are unhappy with how we have handled your information, tell us and we will acknowledge your complaint within 30 days and investigate it. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
